Privacy Policy

This Privacy Policy describes how Axava LLC (“Axava,” “we,” “us”) collects, uses, and shares information when you use Klosed (the “Service”). By using Klosed you agree to the practices described here.
1. Information we collect
Account information
When you create or are invited to a Klosed account we collect your name, email address, password (stored as a salted hash), team affiliation, and role.
Billing information
If you subscribe to a paid plan, our payment processor Stripe collects your payment details. We do not store full card numbers. Stripe holds them. We retain the last four digits and expiration date for receipts.
Usage and call data
Klosed exists to score your sales practice calls. When you train, we collect:
- Audio recordings of your voice during practice calls
- Transcripts generated from those recordings
- AI-generated scoring, feedback, and coaching notes
- Session metadata: timestamp, duration, prospect persona, outcome
Device and log information
IP address, browser and user-agent, and access logs for security and analytics.
Communications
If you email us or fill out a form, we keep that correspondence to respond and to improve the Service.
2. How we use information
- Provide, maintain, and improve the Service
- Score and analyze your sales calls (the core product function)
- Process payments and send transactional emails
- Communicate about the Service and respond to support requests
- Detect, prevent, and address fraud, abuse, and security issues
- Comply with legal obligations
3. Third parties
We share information with the following service providers under contracts that limit their use of your data to providing services to us:
- Anthropic. AI analysis of transcripts. Receives transcript text, returns scoring and coaching.
- Cartesia. Real-time voice processing (speech-to-text and text-to-speech). Receives audio, returns transcripts and synthesized voice.
- Stripe. Payment processing. Receives billing information.
- Amazon Web Services. Hosting, email delivery (SES), and database storage. Holds infrastructure data on our behalf.
We do not sell your personal information.
4. Voice recording disclosure
Klosed records audio of every practice call you initiate. Recordings and transcripts are stored on AWS infrastructure under our control. Reps train against AI prospects, not real people, so no third-party consent is required. Managers and admins on your team can review your recordings as part of coaching.
5. Retention
We retain account, billing, and call data for as long as your account is active. After cancellation we may continue to retain data for backups, fraud prevention, and dispute resolution. To request deletion of your data, email spencer@axava.ai and we will action the request within the time required by applicable law. Aggregate, de-identified analytics may be retained longer.
6. Your rights
Depending on your location (for example, GDPR for the EEA, CCPA for California) you may have rights to access, correct, delete, or export your data. Email spencer@axava.ai to make a request. We will respond within the time required by applicable law.
7. Children
Klosed is not directed to anyone under 16. We do not knowingly collect data from minors. If you believe a minor has provided us data, contact us and we will delete it.
8. Security
We use TLS in transit, encrypted storage, hashed passwords, and access controls. No system is perfectly secure. We will notify affected users of any breach involving their data, in accordance with applicable law.
9. International users
Klosed is hosted in the United States. By using the Service from outside the US you consent to the transfer and processing of your data in the US.
10. Changes
We may update this policy. The “Last updated” date above will reflect any changes. Material changes will be announced via email or in-product notice.
